Information you provide
We collect applicant names, email addresses, phone numbers, postal addresses and vessel details. Private-name applications require a passport number; company-name applications require a company name and incorporation number. You may upload identity, ownership and vessel documents and provide instructions or reviews.
Why information is used
Information is used to respond to enquiries, maintain your application, check submitted details, communicate progress and support registration assistance. Technical request information and limited session data are used to protect access and reduce abuse. Submitting an enquiry is not consent to marketing.
Service providers and access
Cloudflare provides website hosting and application database services. Supabase provides private document storage and administrator authentication. Configured email services may deliver application and status notifications. Authorised administrators can view application details and documents. Information needed to process a registration may be provided to the relevant authority or a service partner as part of the agreed service.
Passport details and documents
Passport numbers are application identity information. They are not included in public tracking responses. Uploaded files use private storage and authorised access. Use the application’s document-upload facility rather than sending identity documents through general contact channels.
Sessions and retention
A draft-session cookie permits access to your saved draft for up to seven days. Expiry of that session does not automatically erase the stored application. Application records, documents and audit history are retained in the system until reviewed and managed by authorised staff; hiding or cancelling an application does not automatically delete every related record. Contact us about retention or deletion of your information.
Privacy requests
Contact the team to request access to or correction of your information, or to ask about deletion, restriction or objection where applicable. Identity may need to be verified before a request is fulfilled. Records may need to be retained for service, dispute or applicable legal purposes. You may also contact the relevant data-protection authority where applicable.
Third-party links and changes
WhatsApp and other external services apply their own privacy terms when you use them. If our processing changes, this notice will be updated. The contact details below are the point of contact for privacy questions.
